Privacy Policy

1. Who We Are

Portable Admin (“we,” “us,” or “our”) is an AI-powered Windows support tool that diagnoses issues on your machine and proposes remediation scripts for your review. This Privacy Policy explains what personal information we collect when you use our website and software, how we use it, and your choices regarding that information.

2. What We Collect

Account information

When you create an account, we collect your email address and, optionally, a display name. We store a hashed (non-reversible) version of your password — we never store your plaintext password.

Device context

The Windows client collects technical information about your machine in order to diagnose issues. This includes: operating system name and version, CPU model and core count, total and available RAM, network adapter names and configuration, logical drive labels and free-space figures, and whether the client is running with elevated (administrator) privileges. This data is sent to our servers only when you start a support session and is associated with your account.

Session content

Support sessions include the conversation between you and the AI assistant, the diagnostic and remediation scripts proposed by the AI, and the execution results (exit code, stdout, and stderr) of any scripts you approve and run. We store this content to display your session history and to improve the accuracy of future diagnoses.

Usage events

We log events such as session starts and script executions to track usage against your plan limits and to monitor service health.

Payment information

If you subscribe to a paid plan, billing is handled entirely by Stripe. We never see or store your full card number. We store the Stripe customer ID and subscription ID returned by Stripe so we can manage your subscription status.

Cookies and session tokens

We use a single session cookie to keep you signed in. This cookie contains an encrypted reference to your account and has no advertising or tracking purpose. We do not use third-party advertising cookies or analytics pixels.

3. How We Use Your Information

We use the information we collect to provide and operate the Portable Admin service — to authenticate you, to run the AI-powered diagnosis engine, to display your session history, and to enforce your plan’s usage limits.

We use device context and session content to improve the quality of ITMan, the AI model powering diagnoses. We may review sessions manually to identify patterns, correct failures, and inform future training. We do not use your data to build advertising profiles or sell it to third parties.

We use your email address to send transactional messages such as email verification links, password resets, and subscription receipts. We do not send marketing email without your explicit opt-in.

4. Who We Share Data With

Stripe

Payment processing is handled by Stripe, Inc. Stripe receives your billing information directly and is governed by Stripe’s Privacy Policy.

Maton.ai / Gmail (transactional email)

Outbound transactional emails (verification links, receipts) are sent via the Maton.ai API gateway and routed through Gmail’s SMTP infrastructure. Your email address is transmitted to these providers solely for the purpose of delivering the requested message.

OpenClaw AI gateway (inference)

Session content, including the problem description and device context you provide, is forwarded to the OpenClaw AI gateway which routes inference requests to frontier language model providers (such as Anthropic and OpenAI). This data is used exclusively to generate diagnostic and remediation responses for your session. We do not share your account credentials or payment information with these providers.

Legal requirements

We may disclose information if required to do so by law or in good-faith belief that such disclosure is necessary to comply with a legal obligation, protect our rights, or prevent harm.

5. Data Retention and Deletion

We retain your account information, session history, and usage data for as long as your account is active or as needed to provide the service. If you close your account, we will delete your personal data within 30 days, subject to any legal retention obligations.

You may request deletion of your data at any time by emailing support@portableadmin.com. We will acknowledge your request within 5 business days and complete the deletion within 30 days.

6. Security

All data in transit between the Windows client, your browser, and our servers is encrypted using TLS. Passwords are hashed using a strong one-way algorithm before storage and are never recoverable in plaintext. API tokens are stored as hashed values as well.

While we take reasonable precautions, no transmission over the internet and no storage system is completely secure. We cannot guarantee the absolute security of your information.

7. Your Rights

Depending on your jurisdiction, you may have the right to access the personal information we hold about you, to correct inaccurate data, to request deletion, and to object to or restrict certain processing. To exercise any of these rights, contact us at support@portableadmin.com. We will respond within a reasonable time frame consistent with applicable law.

8. Children

Portable Admin is not directed at children under 13 years of age. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of the page. We encourage you to review this policy periodically. Continued use of the service after changes are posted constitutes your acceptance of the updated policy.
